Confession: I will try almost any productivity app at least once.
Not because I’m distracted. Because I’m always looking for leverage. Okay, I’ll admit it — I’m a bit of an app addict. But the right tools don’t just save time; they create clarity, speed, and structure. And when you’re building something serious, those three things matter.
I’m a systems person. I’m a strategy person. And yes, “Snarky CPA” could absolutely be my middle name. Sarcasm and coffee keep me going. But systems? Systems keep the business going.
Here’s what’s currently in heavy rotation.
Loom has completely changed how I communicate. If you’re typing five paragraphs to explain something visual, you’re working too hard. I use Loom to record my screen and walk through financial reports, workflows, and QuickBooks issues in minutes. It reduces confusion, eliminates unnecessary meetings, and creates reusable training for clients and teams. Clear communication will always outperform clever wording.
Start.me is my digital command center. If you’ve ever had dozens of tabs open and convinced yourself that counts as organization, this tool is your intervention. It allows me to centralize dashboards, reports, links, and resources into one structured homepage. I spend less time searching and more time executing. Structure creates speed, and speed creates momentum.
Slack keeps communication organized in a way email simply can’t. Email is slow, and text threads are chaotic. Slack allows conversations to live in searchable channels organized by project or client, so context never gets lost. When communication improves, execution improves. It’s that simple.
Gmail, when used properly, is far more than an inbox. With labels, filters, templates, scheduling, and integrations, it becomes a workflow management system. It tracks conversations, houses documentation, and serves as a searchable knowledge base. If your inbox feels overwhelming, it’s not Gmail’s fault. It’s your system.
CloudHQ takes Gmail and elevates it. It adds tracking, automated follow-ups, and template management, but my favorite feature is simple: it automatically saves attachments — including the files I specifically said, “You don’t need to send me that.” Instead of cluttering my inbox or disappearing into a downloads folder, those files are routed exactly where they belong. It quietly builds documentation and backup systems without adding work. And quieter systems create quieter brains.
File Juggler is another behind-the-scenes powerhouse. It automatically renames, moves, and sorts files based on rules I create. Bank statements land in the right folders. Client documents are organized without manual effort. The downloads folder stops looking like a digital junk drawer. Automation may not be glamorous, but it protects time, reduces errors, and builds consistency.
Then there’s ChatGPT. It doesn’t replace expertise — it accelerates it. I use it to brainstorm, outline content, pressure-test strategy, and refine messaging. It helps organize the thoughts already in my head. And as an added bonus, it softens my accountant voice. You know the one — direct, efficient, occasionally a little intense. ChatGPT gives me a pause button. I can refine tone before hitting send and soften delivery without weakening the message. It doesn’t make me less direct; it makes me controlled. Left to my own devices, that may not always happen. With it, I’m strategic.
Prosoft might be the quietest game changer of all. It converts PDFs into spreadsheets and even QuickBooks-import-ready files. If you’ve ever manually typed transactions from a PDF into accounting software, you understand the pain. Prosoft eliminates manual data entry, speeds up cleanup projects, and turns backlog nightmares into manageable workflows. That’s leverage in software form. No more data entry.
At the end of the day, this isn’t about loving apps. It’s about loving efficiency. These tools don’t replace leadership, judgment, or expertise. But they reduce friction, protect focus, and support clarity.
